How to Maintain Outlook Connected to Google Workspace (Step-by-Step) This guideline helps you to manage your Outlook mailbox when it is synced with Google Workspace using IMAP or Google Workspace Sync (GWSMO).

  • Open Outlook
  • Go to File → Account Settings → Account Settings
  • Confirm your Gmail/Workspace email is listed
  • Make sure its status is Connected
  • If not connected, click Repair
  • Delete or archive old emails
  • Empty your Deleted Items folder
  • Use search for large attachments: has attachments: yes
  • Delete or save attachments to Google Drive
  • Create folders (Projects, Clients, Courses, etc.)
  • Move emails into folders regularly
  • Avoid too many sub-folders to prevent slow IMAP sync
  • Keep only necessary rules
  • Too many rules make Gmail–Outlook sync slow
  • Ensure rules don’t auto-delete important emails
  • Click Send/Receive All Folders
  • Restart Outlook
  • Check your internet connection
  • Go to: File → Office Account → Update Options → Update Now
  • This prevents syncing errors
  • Store files in Google Drive, Shared Drive, or Google Docs
  • Keeps mailbox light and sync fast
  • Delete spam and empty trash
  • Check labels and remove unnecessary filters
  • This helps Outlook sync faster
  • Create a folder “Backup Emails”
  • Move important messages
  • Export PST if needed: File → Open & Export → Export to a File
  • Outlook not syncing
  • Emails stuck in Outbox
  • Duplicate emails appear
  • Login or authentication fails
